Job Description

ABOUT THE JOB (JOB BRIEF)

The Associate will be responsible for monitoring and processing of trades placed on a third party trading platform and then mirroring that activity on the trust system for all 401a and 403b business. The Associate will link accounts to models on the third party system, process trades on that account as part of the account set up, and then shadow that activity on trust accounting system. The associate will also be responsible for monitoring accounts on the third party system for additional activity such as dividends and income payments and then processing that activity on the trust system. The associate will be responsible for weekly reconcilement reporting between the third party system and the trust system.

The Associate will be responsible for overflow of posting of cash and reinvestment activity to the Global Plus custody system on behalf of our trust clients. Additionally, the associate is responsible for the reconcilement of units on a weekly basis to fund company records. The associate will be cross trained on all Income processing functions to be able to provide backup when needed.

The Associate performs all accounting processes in support of the Business Investment Account (BIA) and Private Bank (PB) cash sweep functions for all client accounts on Hogan custody system. Additionally, the specialist researches and resolves reconciling exceptions within time standards.

PRIMARY JOB FUNCTIONS

Specialist will process all 401A and 403B business:

  • Work with Third Party representatives to provide accurate accounting of client accounts between third party system and trust system.
  • Work with internal client manager to ensure proper paper work has been submitted to third party provider and report on reconcilement results.
  • Work with Portfolio Manager to ensure trading models are accurate between third party system and trust system.
  • Validate and post activities to the Global Plus trust accounting system from third party system. Activity includes contributions, dividends, rebalances, and fee activities.

    Process BIA Sweep:

  • Reconciliations of asset positions between Hogan and fund company records
  • Collects trade information from Hogan and electronically places trades with the fund companies
  • Communicates participant trades to internal portfolio managers
  • Processes incoming and outgoing wires and communicates wire activity to Treasury Operations and fund com
  • Balances Hogan with trade activity and prepares APA
  • Reconciles the month to date income and monthly distribution of income for participants
  • Report daily variance to Management Team and other interested parties

Process overflow of Income Processing desk:

  • Receive and post cash and/or reinvestment transactions to the Global Plus custody system from either electronic files, statements or checks
  • Process dividend options changes requested by the LOB
  • Responsible for sending the daily file of Networking activity
  • Research position outages with the fund companies and work with the appropriate person to resolve the outage
  • Research and resolve any dividend option differences between the custody system and the fund company
  • Reconcile suspense account balances for cash payments to ensure a timely and accurate clearing of funds
  • Validate mutual fund confirmation statements to the Global Plus custody system

Process overflow coverage of following R&D tasks:

  • Cost Basis Reporting
  • Document Prep

Additional tasks:

  • Distribute mail received from Fund Companies
  • Participate in the testing of system upgrades and MUP for Global Plus
  • Create and/or update current procedures as changes occur in the process
  • Participate on special projects as necessary
  • Participate in Business Reviews and Continuous Improvement initiatives

REQUIRED QUALIFICATIONS

  • Four year degree in Business or Finance OR equivalent work experience.
  • Excellent verbal and written communication skills.
  • Proven analytical and quantitative ability.
  • Knowledge of Global Plus system preferred.
  • Proven experience and success in a team environment.
  • Proven problem resolution skills.
  • Excellent organizational skills. Ability to manage multiple priorities.
  • Proven ability to demonstrate the Key Values.
  • Ability to learn detailed processes quickly and function independently with limited supervision.
