ABOUT THE JOB

This role involves performing and executing various Records Management tasks, from both a paper and electronic records perspective. This role is responsible for hands-on records management activities, along with oversight of the Records Management Program. The ideal candidate has experience in Records Management program administration, Risk Management, Information Security and/or Information Technology fields. The candidate will perform daily records management related functions, including interfacing with Key employees, vendors and project teams. The candidate must have presentation, report writing and customer interface skills.

From a more general perspective, the candidate will be able to analyze and assess records management risk and facilitate the development and implementation of effective compensating controls. This candidate will function within the Corporate Information Security team but will be adept at working with a diverse audience to include Key Technology and Operations more broadly, as well as other stakeholders such as Corporate Compliance, Risk Management, and the Law Group. The candidate must be able to analyze complex records management issues and explain them in standard business language. Functional knowledge of both technical and business aspects of records management is highly desirable.

  • Records Management Program Administration
    • Program Strategy and improvement
    • Program Policy and Standard maintenance
    • Vendor Relationship Management
    • Records Retention Schedule Annual Review
    • Collaboration with Law Group, Compliance, and Tax Representatives
    • Regularly scheduled Destruction Process
    • Inventory Compliance including records inventory quality control (including compliance testing)
    • Litigation Support including Hold Code management
    • Access Control
    • Respond to written and verbal requests from attorneys, auditors, and regulators
  • Client Support
    • Respond to written and verbal requests from internal clients, including issues resolution, training, and reporting
  • System Administration for Access FileBridge, Records Quality Control, Records Retention Schedule
  • Create documentation of processes and ongoing associated enhancements
  • Solid communications skills and the ability to explain technical topics to people without a technical background, in both written and verbal formats
  • Act as part of a team that provides Records Management guidance and makes decisions with minimal supervision
  • Solid presentation development; thoughtful organization of content; takes the audience into account; solid writing skills; can cohesively present and organize information in support of conclusions/findings; identifies and fills gaps in documentation
  • Provides Records Management consulting support to address business and technology projects and requests
  • Acts as single point of contact for assigned work
  • Escalates concerns in a timely manner
  • Acts as a backup for other team members
  • May interface with internal and external audit partners
  • Builds and sustains collaborative relationships with multiple constituencies


REQUIRED QUALIFICATIONS

  • Ability to analyze data and reports, making independent judgments/decisions
  • Ability to gather and interpret data in preparing various required reports for internal clients, litigation support, and upper-level management
  • Strong organizational skills and attention to detail (accuracy)
  • Proven ability to work independently and within the team under tight deadlines
  • Proficient use of personal computers and Microsoft Office Suite.
  • Ability to communicate with various departments and levels-strong orientation to client service
  • Records Management experience and/or certification is beneficial
  • Experience in the Records and Information Management / Information Governance (RIM/IG) profession, Risk Management, or Information Technology is beneficial
  • Experience working with lawyers, risk and compliance personnel is a plus
  • Bachelor’s degree or equivalent work experience
  • 1-3 years of records management, risk, information security and/or information technologies experience
  • Knows when to notify management when deadlines are at risk
  • Experience in leading project
  • Ability to communicate concisely, effectively and directly to executive management.
