Job Description


Trust Distributions is responsible to act on the instructions of the Trust Administrator in Key PrivateBank and Wealth Management to effect and coordinate distributions over the life cycle of the trust. The analyst has responsibility to read the governing trust and custody documents and evaluate the legitimacy and appropriateness of the distributions being requested from the trust. The analyst is responsible to ensure that all required authorization documentation is in place to allow the distribution to take place, as well as ensuring that any tax, court accounting, probate administration and IRA compliance ramifications of the distribution are understood and properly addressed. The analyst then instructs other operations departments to move securities in accordance with the distribution instructions.


  • Review and interpret trust and custody legal agreements to determine whether specific distributions are permitted under the document.
  • Complete the most complex rush or highly visible distributions proficiently, according to department procedure and in accordance with Service Level Agreements.
  • Construct appropriate and professional communications to beneficiaries and/or clients as required by the procedures for the distribution.
  • Coordinate transfer of assets, charging of fees and reserving cash for payment of taxes and other expenses.
  • Process online cash transactions and creation of distribution instructions.
  • Provide excellent service to trust administrators/associates, clients and beneficiaries in completing all processes.
  • Meet performance objectives for accuracy and timeliness in completing distributions.
  • Research and distribute tax refunds and class action proceeds on closed accounts according to timeliness objectives.
  • Actively participate in department projects and efforts to increase efficiency and improve service.
  • Contribute ideas for improvement appropriately.
  • Lead projects – review scope and determine an appropriate course of action. Assign tasks based upon the project plan and provide regular updates to management team. Ensure milestones are met by all members on project team.
  • Responsible for training new associates on the team or providing training support as needed. The expectation is that this role can effectively perform all functions within the Trust Distributions Department.
  • Coordinate and lead system release testing. Ensure test scripts are current and create scripts when new code is delivered. Ensure all testing is completed by required deadlines.
  • Provide backup support as needed for all functions within the department.
